Client receipt request email templates: polite, firm, final.
A good receipt request names the exact gap, gives one place to upload, and sets a real cutoff. The tone can change; those three facts should not.
Before you send anything
Do not send a client a generic “please send receipts” nudge. It makes them work out what you mean, where to put the files, and whether the deadline is real. Fill in the bracketed details below first. Keep the upload destination to one link.
1. The first ask: specific and easy
Subject: [Month] receipts and statements Hi [First name], I’m closing [Month] and still need [specific items]. Please drop them here by [cutoff date]: [upload link] Photos, PDFs, and statements are all fine — no need to rename anything. Thanks, [Your name]
2. The cutoff reminder: firm without sounding robotic
Subject: Still needed for [Month]: [specific items] Hi [First name], Quick reminder: I still need [specific items] to finish [Month]. The cutoff is [day, date]. Please upload them here before then: [upload link] If an item does not exist or you need help finding it, reply and let me know. [Your name]
3. The final note: close the loop
Subject: Closing [Month] with the documents received Hi [First name], I’m closing [Month] today with the documents currently received. I still do not have [specific items]. If you find them later, upload them here and I’ll add them to the file: [upload link] For next month, please send receipts and statements as they arrive so we do not have to reconstruct the month at the end. [Your name]
Why this sequence works
The first message asks for action. The second message makes the consequence clear. The final one gives the client an honest record of the gap without turning your month-end into an endless chase. Do not send all three at once, and do not pretend every client needs the same language.
For recurring requests, save the cadence, but keep the missing items and cutoff current. Clients ignore messages that read like automation; they notice a message that looks like you know their month.
