"Receipt management software" is four different product categories wearing one name, and most roundups mix them freely — which is how a solo bookkeeper ends up demoing an employee-expense platform that can't do the one thing they need. The four categories
1. Extraction suites (Dext, AutoEntry, Datamolino)
Built to read data off documents at volume — line items, supplier rules, publish-to-ledger. Priced by usage: Dext quote-gated (its public pricing page was unavailable when checked), AutoEntry in credit packs (~$13–469), Datamolino volume-based from ~€20/mo — and Hubdoc sits at the simple end of this category at $12/mo flat, header-level capture into Xero and QBO. The gap: documents must already be in hand, and none of them chases a client who hasn't sent March's receipts.
2. Expense management (Expensify, Zoho Expense)
Built for a company's own spend: employees snap receipts, managers approve, cards reconcile. Per-user pricing. If you're a bookkeeper serving external clients, this shape fights you — your clients aren't your employees, and they won't adopt an app with an approval chain.
3. Practice management with document features (Double, Financial Cents, TaxDome)
Workflow suites — tasks, deadlines, client portals — with document requests attached. Right if you wanted practice management anyway; per client or per user, they're the expensive way to buy the document side alone (Double runs ~$300/mo at 30 clients). Files typically stay attached to tasks rather than living in a sorted library.
4. Collection-first tools (Sorted Receipts)
Built around the part the other three assume away: getting documents out of clients' hands. Each client gets one upload link — no account, no app, forwarding an email works. Arrivals auto-sort by month, vendor, and type; recurring vendors with a gap get chased with reminders under your name; month-end exports a CSV plus renamed originals for QBO, Xero, Desktop, or a plain folder system. $8/mo flat for any practice size, documents never metered. The honest limit: header-level extraction, no line items — extraction suites exist for that.
