Best receipt-chasing software for bookkeepers (2026)
Full disclosure up front: we make Sorted Receipts, one of the five tools below. This page exists because "receipt chasing" is a young, genuinely contested corner of the market and the roundups elsewhere mostly compare capture tools that don't chase at all. Every price here was checked on the vendor's own pricing page on July 23, 2026; if one has changed, email [email protected] and we'll fix it.

The honest differences
ReceiptNudge — pure chasing, done seriously
ReceiptNudge is chasing distilled: you upload a CSV of unmatched transactions from your bookkeeping software, and it runs an escalating email/SMS sequence in your firm's name with magic-link uploads and a live dashboard. Its own positioning says it plainly: not a scanner, not document storage. If you already have a sorting system you like and only want the nagging automated, it's a credible pick — priced at £39/mo flat, which is the most expensive entry point here, and everything the clients send still lands back on your filing system.
Intake — checklist collection with AI classification
Intake is the volume value play: free up to 10 clients, $19/mo unlimited after. It collects against checklists (send November statements, fill this W-9, e-sign this), classifies what arrives with AI, and gives clients a branded portal. What it doesn't know is what's missing against the books — its requests are checklist-driven, so a transaction with no receipt isn't something it can see or chase.
DocuChase — recurring requests for solo QBO bookkeepers
DocuChase automates the monthly ask: recurring request templates, magic links, day 3/7/14 reminders, an overdue/stalled/on-time dashboard, approve/reject on what arrives, Google Drive export. It's QBO-solo shaped and priced with founding tiers ($0/$14/$29/$59) it says are locked forever. Like Intake, it chases the request, not the gap — it knows a client hasn't answered, not that March 14th's Shell charge has no receipt.
Hubdoc — the capture layer, for contrast
Hubdoc doesn't chase, and we list it to make the category boundary honest: at $12/mo it captures what clients send (email-in, app, desktop) and publishes extracted data to Xero and QBO. Several of the tools on this page — ours included — are designed to run alongside it, not instead of it.
Sorted Receipts — chase + sort + month-end in one
Ours, so judge accordingly. Each client gets one upload link (no account, no app). What arrives auto-sorts by month, vendor, and type into one practice-wide view with a confidence-flagged review pile. Recurring vendors with a gap get flagged and chased — polite to firm to final, under your name, on your cutoff.
